JOB SUMMARY
We are seeking a dynamic and experienced Executive Assistant to provide high-level administrative support to our C-level Executives & Key Managers. The incumbent will manage their schedule, communications, and day-to-day activities, enabling them to focus on strategic initiatives and critical tasks. This role requires a proactive, organized, and detail-oriented professional who can handle sensitive information with discretion and excel in a fast-paced, demanding environment.
What You’ll Do
- Serve as the primary point of contact between the Executives/Key Managers and internal/external stakeholders.
- Efficiently manage the calendar, scheduling meetings and appointments.
- Organize and facilitate executive and manager meetings, including preparing agendas, distributing materials, and taking minutes.
- Prepare and edit reports, presentations, and documents when required.
- Ensure accuracy and consistency in all communications.
- Follow up on action items and deadlines resulting from meetings.
- Maintain strict confidentiality of sensitive information and documents.
- Assist with special projects and research assignments as directed by the Executives/Key Managers.
- Good to have: Assist in operational tasks as assigned by the HR Manager, including but not limited to attendance management, insurance management, benefits management, conducting background checks, etc.
- Good to have: Arrange detailed travel itineraries, accommodations, and logistics for both domestic and international trips.
What You’ll Need
- Bachelor’s degree or equivalent work experience.
- Proven experience as an Executive Assistant or similar role supporting C-level executives.
- Exceptional organizational and time-management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong written and verbal communication skills.
- Excellent attention to detail and problem-solving skills.
- Adaptability and ability to work in a fast-paced environment.
